Job Description
Job Title: Senior Operation Support Coordinator
Job Summary:
The Senior Operation Support Coordinator provides technical and coordination support for documentation, contract administration, and civil maintenance activities within the assigned department. This role involves overseeing office procedures, managing communications, ensuring contractor performance, and collaborating with various departments to enhance operational efficiency.
Key Responsibilities:
- Technical and Coordination Support: Provide support for documentation, contracts administration, and civil maintenance activities within the assigned department.
- Operational Support: Assist with day-to-day operations and office procedures, ensuring organizational effectiveness and efficiency.
- Communication Management: Coordinate memos, letters, and circulars; address manpower-related issues as requested.
- Meeting Coordination: Organize and coordinate meetings, including preparing visual aids and refreshments; may attend meetings to take minutes.
- Record Management: File correspondence and records related to division activities, maintain and update files, and manage office supplies.
- Contractor Performance: Conduct random checks to ensure contractor performance aligns with agreements.
- Interdepartmental Liaison: Liaise with other departments to address requests related to the department and follow up on completion.
- Relationship Building: Develop constructive working relationships and maintain effective communication within the organization. Collaborate with IT for document management enhancements.
- Efficiency and Improvement: Identify opportunities for cost efficiency and performance improvement; propose innovative technology solutions.
- Audit Practices: Implement department audit practices, ensuring compliance with company procedures.
- Contract Management: Clearly address client business requirements, define the scope of work for contracts, and establish clear KPIs before operations commence.
- Site Visits Coordination: Arrange third-party site visits, including the Letter of Assistance, in coordination with bidders and end-users.
- Facility Inspection: Collaborate with various disciplines to inspect and evaluate civil facilities, identifying improvements against best practices.
- Attendance and Overtime: Check attendance and overtime applications for LTSA service contract employees before processing.
- Manpower Coordination: Coordinate manpower assistance required for specific activities with other disciplines.
- Policy Development: Contribute to the development, implementation, and regular review of civil maintenance policies, procedures, and systems to ensure consistent application of best practices and improve plan performance.
- HSE Compliance: Comply with relevant HSE policies, procedures, controls, applicable legislation, and sustainability guidelines, adhering to international standards, best practices, and COMPANY Code of Practices.
Desired Candidate Profile:
- Education: Bachelor’s Degree or equivalent in a relevant field.
- Experience: Minimum of 10 to 12 years of relevant experience, preferably in the Oil & Gas or Petrochemical industry, demonstrating extensive expertise in coordination, operation services, administrative, and civil support functions.
- Skills: Proficient in MS Office, with working knowledge of EDMS, SAP, and other relevant tools.
