Job Description

Job Title: Senior Technical Support Coordinator

Job Summary:

The Senior Technical Support Coordinator will provide comprehensive technical and administrative support to the assigned department. This role involves managing documentation, coordinating internal and external communications, overseeing personnel attendance, and preparing periodic reports. The coordinator will also support the department in contract administration and other administrative functions.

Key Responsibilities:

- Technical & Administrative Support: Provide technical and administrative assistance, including documentation, contracts administration, monitoring personnel attendance, data gathering, periodic reporting, and internal/external coordination.

- Documentation & Reporting: Prepare meeting minutes, memos, letters, circulars, and address manpower-related issues. Compile weekly and monthly reports for the department, senior management, and operations meetings, focusing on overall performance and cost-saving initiatives.

- Coordination: Act as a focal point for coordination between divisions and other COMPANY Group Companies during meetings and site visits. Collaborate effectively with other departments, including IT, General Services, Transportation, PLQ Accommodation, Facilities, and Human Capital.

- Employee Engagement: Drive initiatives to improve employee engagement and aim for the highest divisional score.

- Document Management: Maintain a systematic electronic Document Management Structure, coordinating with the IT Division for necessary enhancements. Manage the department’s central filing system, ensuring confidentiality for sensitive matters.

- Contract Administration: Support Team Leaders and Senior Engineers in preparing tender documents, and follow up on contract requisitions, service orders, and purchase requests.

- Personnel Coordination: Coordinate various personnel-related matters, such as CICPA applications, PPE requests, training requests, and more. Track department personnel attendance and manage related actions, including handling file notes, investigation minutes, attention notices, and warning letters.

- Collaboration: Work closely with OD on job titling, job family, and job category updates in PSM. Collaborate with HR/Training Coordinator on employee-related issues, including leave, attendance, and training programs.

- Policy Implementation: Implement approved policies, processes, systems, standards, and procedures within the section/team/department. Comply with applicable Human Capital policies and relevant HSE policies, procedures, controls, legislation, and sustainability guidelines.

- Other Responsibilities: Perform any other related assignments as advised by the superior.

Desired Candidate Profile:

- Education: Possess a Bachelor’s Degree or equivalent with relevant administrative experience.
- Experience: Minimum of 8 to 10 years of experience, preferably in a reputable Oil & Gas or Petrochemical industry, demonstrating extensive expertise in coordination, technical, and general administrative functions.
- Skills: Proficient in MS Office, EDMS, e-Correspondence/Share Point (ECM).
