Service & Parts Executive

Position: Service & Parts Executive

Major Duties and Responsibilities:

- Client Management: Courteously handle client interactions, including receiving and delivering vehicles, opening service orders, updating progress, and promptly invoicing completed jobs.
- Appointment Scheduling: Receive appointments and manage scheduling based on workshop capacity.
- Workshop Workflow: Efficiently manage the workshop team and control workflow to ensure smooth operations.
- Parts Procurement: Coordinate with the team to fulfill parts and materials requirements, procuring as needed.
- Inventory Management: Review inventory levels, maintain minimum stock quantities, verify received materials, and update stocks in the system.
- Administrative Support: Assist the Accountant with verifying costs, prices, and totals of work orders, handle paperwork, data entry, and administrative functions.
- Physical Inventories: Prepare and conduct physical inventories periodically as required.
- Record Keeping: Control data entries, maintain records in workshop software, and generate reports as needed.
- Reporting: Report all concerns related to clients, workshop, parts, etc., to the Workshop Manager.
- Additional Duties: Perform any other related work and duties as assigned by the Workshop Manager.

Experience:

-Proven experience in automotive service coordination or a similar role within the automotive industry.

Educational Requirements:

-High school diploma or equivalent; additional certifications in automotive services will be a plus.

Knowledge, Skills, & Competency:

- Proficiency in office administration, basic accounting procedures, data processing, and record-keeping techniques.
- Ability to operate necessary office equipment including PC (MS Office Application-Word, Excel, PowerPoint, and internet).
- Strong mathematical skills for performing calculations quickly and accurately.
- Excellent interpersonal and communication skills.
