Job Description
Job Title: Conference Service Executive
Position Summary:
The Conference Service Executive will support the Director of Catering & Conference Services by managing and executing all aspects of conference and event planning, ensuring a seamless and professional experience for clients. The role involves coordinating event logistics, maintaining client relationships, and overseeing the execution of events from booking through to completion.
Key Responsibilities:
- Client Service:
- Provide professional, friendly, and engaging service to clients throughout their event experience.
- Confirm all event-related details with clients, ensuring their requirements are accurately met.
- Establish and maintain strong rapport with clients, encouraging repeat business and referrals.
- Event Coordination:
- Organize convention bookings, including meeting requirements, guest room allocations, food and beverage needs, and audio-visual arrangements.
- Create and finalize floor plans for each event, ensuring alignment with client expectations before setup.
- Manage billing procedures, including handling deposits and credit applications with accuracy and within acceptable time frames.
- Pre-Event and Onsite Management:
- Attend pre-conference meetings with clients and relevant departments to ensure clear communication of all event details.
- Participate in daily meetings to review event contracts and address any last-minute changes with appropriate departments.
- Compliance and Safety:
- Adhere to departmental policies and procedures, including all safety protocols.
- Follow company policies to ensure compliance and high standards are maintained.
- Additional Duties:
- Perform other duties as assigned by the Director of Catering & Conference Services.
Qualifications:
- Experience:
- Previous experience in a similar role within luxury hotels or high-end conference environments is required.
- Education:
- University/College degree in a related discipline preferred.
- Skills:
- Proficiency in Microsoft Windows applications.
- Excellent communication skills, both written and verbal.
- Strong interpersonal and problem-solving abilities.
- Ability to maintain focus on guest needs, staying calm and courteous at all times.
- Attributes:
- Highly responsible and reliable.
- Ability to handle multiple tasks efficiently and effectively.
- Strong attention to detail and organizational skills.
