Job Description

Job Title: Admin Executive

We are seeking a dedicated and organized Admin Executive to join our team in Dubai. The ideal candidate will be responsible for managing and coordinating administrative tasks, ensuring smooth operations, and supporting various business functions.

Responsibilities:

- Administrative Coordination:
- Plan and coordinate administrative procedures and systems, and devise ways to streamline processes.
- Ensure the smooth and adequate flow of information within the company to facilitate other business operations.

- Financial Management:
- Monitor costs and expenses to assist in budget preparation.
- Prepare monthly provision of accrued expenses.

- Office Management:
- Organize and supervise other office activities.
- Evaluate suppliers, products, and services, negotiate contracts, and ensure that approved purchases are cost-efficient and of high quality.
- Create policies or procedures for logistics activities, including hotel preparation for accommodation.

- Travel Arrangements:
- Arrange business travel for HODs and Executives, including airline tickets, hotel reservations, and cab arrangements.
- Supervise and coordinate the day-to-day functions of travel and lodging formalities for employees traveling to domestic and international sectors.
- Resolve problems concerning transportation and logistics systems for consultants.
- Supervise the work of logistics specialists, planners, or schedulers.

- Bank and Visa Management:
- Perform tasks related to any bank matters and Statements of Account (SOA).
- Process visas with the assistance of a Public Relations Officer (PRO).

Qualifications:

- Bachelor's degree in Business Administration, Management, or a related field is preferred.
- Proven experience in an administrative or executive support role, preferably within the UAE.
- Strong organizational and multitasking skills.
- Excellent communication and interpersonal skills.
- Proficiency in MS Office (Word, Excel, Outlook) and other relevant software.
- Ability to manage multiple tasks efficiently and work well under pressure.
- Knowledge of logistics and travel arrangements is a plus.
- Experience with vendor evaluation and contract negotiation.
