Job Description

Position: Finance Executive Secretary - Arabic Speaker

Roles & Responsibilities:

- Secretarial Services:
- Provide full secretarial support to the CFO and Finance department, including arranging meetings, handling information requests, recording minutes of department meetings, and managing relevant correspondence.
- Control all documents requiring CFO signatures, ensuring all pre-signature approvals are completed.
- Circulate signed documents to respective departments and coordinate communication with other departments.

- Meeting Coordination:
- Coordinate agendas for meetings, prepare minutes, and follow up on action items.
- Organize and manage team-building events.

- Document Management:
- Maintain an efficient filing system for current and new documents, ensuring they are organized and accessible for audits and consultations.
- Send relevant document boxes to Iron Mountain for secure storage.
- Prepare and update the Accounts Payable Master file for all cheques and bank transfers.

- Attendance Management:
- Manage one direct report (Finance Driver), including maintaining attendance records.
- Oversee finance attendance to ensure all discrepancies in scanning are approved or corrected.
- Handle shopping carts and GRNs for all finance department expenses.

- Additional Skills:
- Assist the CEO in the absence of his secretary.
- Prepare dashboards, reports, and presentations for regular reviews and meetings.
- Demonstrate advanced knowledge of Microsoft PowerPoint and reasonable knowledge of Excel, Word, and other relevant software.
- Experience in data management and preparing dashboards, with proficiency in Power BI or similar software, is preferred.
- Finance-related exposure will be advantageous.

Desired Candidate Profile:

- Language Skills: Fluent in Arabic and English.
- Technical Skills: Advanced proficiency in Microsoft PowerPoint, with reasonable knowledge of Excel, Word, and data management tools.
- Experience: Relevant experience in a secretarial or executive assistant role, with exposure to finance functions being advantageous.
