Job Description
Job Title: Receptionist cum Admin Assistant
Overview:
We are seeking a professional and organized Receptionist cum Admin Assistant to be the first point of contact for our office. This role requires someone who excels in communication, administrative support, and multitasking to ensure smooth office operations.
Roles & Responsibilities:
Reception Duties:
- Answer, screen, and forward incoming phone calls.
- Greet and welcome guests as they arrive at the office.
- Direct visitors to the appropriate person or office and the Board Room Meeting Room.
- Forward inquiries to the concerned person and provide basic, accurate information in person and via phone/email.
Administrative Tasks:
- Manage emails, letters, couriers, and inquiries, and file documents accordingly.
- Maintain office equipment and ensure stationary items are available.
- Assist with administrative tasks such as data entry, filing, and photocopying.
- Prepare Local Purchase Orders (LPO), import and local purchase orders, and Purchase Requisitions.
- Coordinate travel arrangements and accommodations for staff members.
- Handle petty cash, verify invoices, and manage travel expense reports.
- Maintain proper office decorum and a good working relationship with all concerned parties.
Office Management:
- Maintain the orderliness of the reception area.
- Schedule appointments and manage the office calendar.
- Provide general administrative support to the team as needed.
- Perform various administrative and office support duties as assigned.
Desired Candidate Profile:
- Relevant education or qualifications in office administration or a related field.
- Previous experience as a receptionist or administrative assistant.
- Knowledge of office procedures and equipment, including proficiency in Microsoft Office (Word, Excel, PowerPoint).
- Strong communication and interpersonal skills with a professional and friendly demeanor.
- Excellent organizational and time management abilities with attention to detail and accuracy.
- Ability to multitask, prioritize tasks effectively, and work independently as well as part of a team.
