Job Description: General Cashier & Paymaster
Company: Sofitel Al Hamra Beach Resort
Position Summary:
As the General Cashier and Paymaster at Sofitel Al Hamra Beach Resort, you will play a pivotal role in the effective financial management of the hotel. Your responsibilities will include managing cash operations, overseeing financial transactions, and ensuring accurate payroll processing. Key Roles & Responsibilities:
General Cashier Duties:
1. Collect remittance envelopes from Front Office Clerks and Food & Beverage Clerks, verifying them against the Daily Witness Sheet.
2. Count and verify cash, cheques, and credit card vouchers with a witness, preparing bank deposits and ensuring intact cash collections.
3. Compile credit card sales vouchers, balance them to computer totals, and prepare them for daily banking.
4. Update daily and maintain ongoing transaction details by Credit Card Company.
5. Disburse approved petty cash requests, prepare Daily Summary of Disbursements, and maintain detailed records.
6. Count and balance the house bank daily, preparing the General Cashier’s Daily Report for review by the Income Auditor and Finance Manager.
7. Prepare cash and foreign exchange control reports as required by local law.
8. Ensure proper approval for cash advances and assist in surprise cash counts.
9. Follow up on drafts sent for clearing to the bank and coordinate with the Finance Manager for any outstanding items.
10. Provide change to Front Office Clerks and Food & Beverage Clerks, reimbursing due backs.
11. Maintain custody and support for unclaimed wages.
12. Assist in the training of ambassadors on tasks such as identifying forged bank notes and verifying checks and credit cards.
13. Assist in inventory of operating equipment quarterly, bi-yearly, and yearly.
Paymaster Duties:
1. Understand Sofitel objectives in Payroll Management.
2. Provide an effective payroll auditing system for hotel management.
3. Provide cost figures to Heads of Departments for profitable operation of individual profit centers.
4. Verify authorization and validity of all "payroll action" forms for active ambassadors in the payroll system.
5. Verify authorization of "status change" notices before processing for data.
6. Prepare final settlement for leavers upon receipt of resignation letters.
7. Ensure completion and approval of attendance records by Heads of Departments.
8. Verify documentation for utilization benefits like vacation and airfare.
9. Verify regular and overtime hours on attendance sheets against time and attendance records.
10. Prepare accurate and timely payroll according to prescribed requirements.
11. Reconcile monthly payroll costs and prepare resulting journal entries for posting to the General Ledger.
12. Reconcile monthly all payroll and benefit-related accounts of local ambassadors.
13. Ensure accurate payment for departing ambassadors in accordance with statutory requirements and contracts.
14. Update monthly manning guide in financial statements.
15. Check validity and accuracy of ambassador benefit-related petty cash claims and process for payment.
16. Provide courteous, professional, and flexible service following Sofitel Standards of Performance.
17. Supervise, correct, and demonstrate all duties and tasks within the assigned Place of Work.
18. Be flexible to rotate within different sub-departments of the Accounting & Finance Department.
19. Maintain up-to-date and organized files in support of all payroll input, tax, and other withholdings.
20. Prepare regular comparisons between actual benefits outstanding and provisions in the General Ledger.
21. Provide pertinent data to the Human Resources Department for monthly compilation of statistical personnel information.
22. Assist in quarterly, bi-yearly, and yearly inventory of operating equipment.
23. Carry out any other reasonable duties assigned by the Assistant Director of Finance and Finance Manager.
Qualifications:
- Strong understanding of cashier and payroll functions.
- Attention to detail and accuracy in financial transactions.
- Familiarity with financial regulations and statutory requirements.
- Excellent organizational and communication skills.
- Ability to supervise, train, and support team members.
