Job Title: Medical Secretary

Roles & Responsibilities:
As a Medical Secretary, your responsibilities will include:
- Coordinating departmental committee meetings, including notification to members, booking of rooms, distribution of agendas, taking and transcribing minutes, and ordering refreshments as required.
- Overseeing the Credential and Privileging process for all physicians, including full-time, community, and part-time physicians.
- Monitoring and tracking the expiry dates of privileges for physicians and assisting in the re-privileging process.
- Ensuring compliance with mandatory education and Life Support Training Courses for physicians.
- Managing the renewal process for Malpractice Insurance for community doctors.
- Updating the Chief Financial Officer's office regularly to ensure continuity of insurance coverage.
- Assisting physicians with internal Continuing Medical Education (CME) or educational activities, including obtaining CME credit points from relevant authorities.
- Applying, renewing, and monitoring the part-time license of community physicians.
- Collecting, recording, and monitoring CME/Continuing Professional Development (CPD) requirements of full-time physicians and ensuring timely submission for license renewal.
- Processing physicians' new privileges requests and updating relevant departments with changes in privileges.
- Supporting the Chief Medical Officer's office for Joint Commission International Accreditation (JCIA) and other accreditation-related tasks.
- Maintaining confidentiality and ensuring the protection and integrity of sensitive information.
- Recognizing and comprehending departmental goals and objectives.
- Taking initiative and offering suggestions for enhancing services.
- Performing ad hoc duties as required.
Qualifications:
- Diploma in Medical Secretarial studies or related field.
- Minimum of three (3) years of experience as a Medical Secretary in a private hospital.
- Proficiency in Microsoft Office (intermediate to advanced).
- Skills in shorthand and audio typing.
- Ability to type with a minimum speed of 50-60 wpm.
- Fluency in English language; proficiency in additional languages preferred.
