Job Title: Supply Chain & Logistics Coordinator

Job Description:

To provide complete supply chain, warehousing, and distribution support to the team and the customer by effectively processing all inbound and outbound operations within specified time frames, thereby achieving profitability, and ensuring high-quality standards and customer satisfaction.

Responsibilities:

- Receive pre-alerts and documents from the customer for inbound shipments, upload (if applicable), and update Inbound PO with required information like BOE no., etc., and inform the logistic team promptly.
- Provide rate quotes for the company and per customers’ requests for both current and future shipments.
- Negotiate with the shipping line and freight forwarders to get the best prices.
- Update all relevant costs for the inbound shipment in the tracker for final billing.
- Ensure timely closure and submission of job files to Finance for Billing and that outbound orders are closed in the system after the shipment has been dispatched from the facility.
- Manage export shipments, including scheduling shipments with the freight forwarder, preparing required paperwork, and filing required documentation.
- Ensure that the inbound/outbound job file contains all relevant documents, chargeable services, and costs before forwarding the same to the Finance/Logistic Manager/Supervisor for final submission.
- Upload (if applicable) and update Outbound Order with the required information.
- Allocate Outbound Orders, generate pick lists, and hand them over to the Logistic In charge.
- Compile inventory reports, recording the quantity, type, and value of products, equipment, or stock on hand, using manual or computerized inventory systems.
- Monitor transport costs, delivery timelines, and productivity.
- Keep detailed, organized records of changes and requests for the stock from internal and external sources.
- Maintain internal, manual, or computerized record-keeping systems.
- Resolve inventory and shipment issues.
- Coordinate inbound and outbound logistics with freight forwarders, couriers, and other carriers for the movement of shipments, including transfers between Company and consignment warehouses.
- Provide the customer with all details regarding the dispatch of goods like airway bill number, estimated date of dispatch/arrival, etc., once the shipment has been dispatched from the warehouse.
- Manage import shipments working with our inter-company partners, customers, and suppliers.
- Solve customer complaints (in a timely and business efficient manner) and implement measures to prevent them from recurring.
- Maintain on-time performance with logistics and production team.
- Assist when required to enter Purchase Orders.
- Comply with all regulations, laws, policies, and Customs requirements.
- Assist with invoicing of assigned customers.
- Perform various tasks assigned as needed.

Qualifications:

- Diploma in Supply Chain Management, Logistics, or Business Administration is an asset but not required.
- Minimum 8 to 10 years experience in distribution and logistics.
- Strong knowledge of shipping lines and freight forwarders, locally and internationally.
- Strong background in supply chain and logistics, both inbound and outbound.
- Strong negotiation skills.
- Strong data entry and organizational skills.
- Proficiency in Microsoft Excel, Word, and Outlook.
- Experience with logistics software (ERP); Oracle NetSuite preferred.
- Fluency in English (must have); Arabic would be an advantage.
