Job Description

Client liaison and relationship management

Responsible for managing and delivering quality corporate administrative services to an assigned portfolio of local and international companies.
Ensure excellence in client service delivery and customer experience.
Build strong relationships with clients and handle client matters promptly.
Ensure that client services are delivered within set deadlines and defined quality standards.
Manage client complaints, provide solutions, or escalate as needed.
Job management

Create job fee setups and credit memos.
Draft and issue invoices and credit notes.
Ensure annual service and variance fee invoices are produced and distributed for each company.
Follow up on outstanding accounts receivable and send overdue reminders and suspension of services notices as required.
Assist in reviewing Work-In-Progress and determining write-offs.
Complete daily time recording for posting to accounting records.
Company set up/Migration

Liaise with authorities to request online portal admin login.
Draft all required setup application forms and resolutions/POA for client signature.
Upload all KYC and signed documents on Sharepoint or Filesite.
Complete the online application, upload required documents, and submit it online.
Follow up and respond to queries from authorities for initial approval.
Accompany clients for signature of Memorandum and Articles of Association.
Follow up with authorities for the issuance of licenses, registration certificates, and Memorandum and Articles of Association.
Circulate the license, registration certificate, and Memorandum and Articles of Association.
Prepare and submit post-licensing work/requirements.
Inform clients to comply with post-licensing requirements.
Corporate administration

Preparation of transfer instructions.
Follow up with banks for swift details.
Preparation of letters.
Drafting transfer instructions.
Company secretarial services

Preparation of directors and shareholders' resolutions.
Preparation and updating of registers and share certificates.
Application for license renewal and filing of annual returns.
Submission of annual financial statements.
Preparation and circulation of compliance checklists to directors.
Organization of board meetings.
Drafting agendas and compiling board packs.
Attendance at board meetings as secretary, providing compliance updates and recording minutes and action points.
Application for changes in shareholding, officers, company name, etc., including resolution drafting and online application.
Bank account opening

Participate in the opening of bank accounts for each company and the execution of related documentation required by the bank.
Preparation of bank forms for account opening.
Liaise with banks for account opening.
Attend meetings with bankers, provide documents and information as required.
Skills

Professional qualifications such as ICSA or ACCA.
University degree in a relevant discipline with at least 2 years of corporate administration experience.
Proficiency in the use of Microsoft Office suite, specifically MS Word.
Excellent written and oral communication skills.
Strong client relationship, organizational, and time management skills.
Excellent interpersonal skills.
