Job Description: Administrative Assistant (Legal & Compliance)

Role Summary:

The Administrative Assistant plays a crucial role in providing administrative support to various members of the Legal & Compliance Department located in Dubai, UAE. This position requires strong analytical and communication skills, as well as the ability to collaborate across different functional organizations. The Administrative Assistant ensures the smooth flow of information, facilitates interactions with key stakeholders, and supports initiatives on behalf of the Legal & Compliance functions.

Key Responsibilities:

Coordinate and manage administrative tasks for the Legal & Compliance team members in Dubai.
Provide high-quality administrative and business support.
Act as a point of contact between legal leadership and employees or stakeholders.
Plan and execute tasks with creativity and latitude, often under strict deadlines.
Organize meetings, manage calendars and emails, schedule appointments, and respond to routine inquiries.
Handle travel arrangements, department events, and off-site meetings.
Facilitate communication between executives, departments, employees, and external parties.
Manage confidential information and maintain executive records and files.
Support the induction process for new team members and collaborate with Legal Operations for office and space allocations.
Monitor outgoing correspondence for compliance with corporate policy.
Foster positive working relationships with various constituencies, both internal and external.
Perform other assigned work-related duties.

High school degree, CFC, Business Administration diploma, or equivalent; additional qualification as a Personal Assistant or Secretary is an asset.

Proficient in computer skills.
Ability to work in a fast-paced environment and manage multiple priorities.
Experience in a results-oriented, performance-driven environment.
Excellent interpersonal, networking, and writing skills.
Ability to draft documents in English at a high level.
Extreme attention to detail and ability to maintain confidentiality.
