Executive Assistant to Managing Director

About the Role:

As the Executive Assistant to the Managing Director, you'll play a crucial role in ensuring the seamless operation of day-to-day activities. Operating remotely, you'll thrive in a fast-paced environment, demonstrating exceptional organizational and communication skills while anticipating needs effectively.


1. Calendar Management:
- Schedule, prioritize, and manage the Managing Director's calendar, including appointments, meetings, and travel arrangements.
- Prepare the Managing Director for all meetings by compiling agendas, briefing materials, and follow-up action items.

2. Communication Hub:
- Act as the primary point of contact for the Managing Director, screening calls, emails, and inquiries, and directing them appropriately.
- Draft and respond to emails with clear, concise, and professional communication.

3. Travel Coordination:
- Manage all aspects of the Managing Director's travel, including booking flights, hotels, and ground transportation.
- Ensure all travel documentation is secure and readily accessible.

4. Project Support:
- Assist the Managing Director with ongoing projects by conducting research, gathering information, and creating presentations.

5. Administrative Excellence:
- Maintain an organized and efficient filing system for both physical and digital documents.

6. Confidentiality & Discretion:
- Handle all communications and information with the utmost discretion and confidentiality.

7. Booking Meetings & Collaboration:
- Proactively identify and research potential key collaborators aligned with company goals. Arrange introductory meetings and explore collaboration opportunities. Manage logistics and follow-up communication to nurture relationships.

8. Follow-up Support:
- Monitor project workflow and identify potential roadblocks. Facilitate communication between the Managing Director and team leads, ensuring alignment on priorities and deadlines. Prepare progress reports summarizing key milestones and areas requiring attention.


- Minimum 2 years of experience as an Executive or Personal Assistant.
- Strong organizational skills with the ability to prioritize tasks effectively.
- Excellent written and verbal communication skills with keen attention to detail.
- Proficiency in Microsoft Office Suite and Google Suite.
- Experience with project management tools and scheduling software.
- Ability to work independently and take initiative.
- Comfortable in a fast-paced, dynamic environment.
- Positive and professional demeanor with a strong sense of discretion.
- Possession of a valid work visa to work remotely in the United Arab Emirates (UAE) is required.
