Job Description

Job Title: Accounts Payable Officer

Roles & Responsibilities:

As an Inventory and Accounts Payable Officer, your primary responsibilities include:

1. Petty Cash Management: Maintain accurate records of daily cash transactions, including disbursements and replenishments, ensuring precision and accuracy.

2. Goods Receipt and Purchase Orders (GRPO): Handle the processing of goods receipts, verifying received items against purchase orders to ensure accuracy and completeness.

3. Accounts Payable Invoices: Manage accounts payable invoices, including verification, coding, and processing for payment, ensuring adherence to company policies and procedures.

4. Inventory Management: Oversee inventory levels and conduct regular audits to ensure accuracy and compliance with established standards. Optimize stock control processes to minimize shortages and excess inventory.

5. Vendor Relations: Liaise with vendors regarding invoice discrepancies, payment terms, and other related matters to maintain positive and professional relationships.

6. Expense Reconciliation: Reconcile petty cash expenditures and accounts payable transactions with supporting documentation to ensure accuracy and completeness.

7. Financial Reporting: Assist in preparing financial reports related to inventory and accounts payable activities, providing insights and recommendations for process improvements.

8. Compliance: Ensure compliance with internal controls, accounting standards, and regulatory requirements related to inventory management and accounts payable functions.

9. Documentation and Record-Keeping: Maintain organized and up-to-date records of inventory transactions, accounts payable invoices, and related documentation for audit purposes.

10. Process Improvement: Identify opportunities to streamline inventory management and accounts payable processes, proposing and implementing efficiency enhancements where applicable.

Desired Candidate Profile:

The ideal candidate for this role should possess the following qualifications and skills:

- Previous experience in inventory management and accounts payable roles, preferably in a similar industry.
- Strong attention to detail and accuracy in data entry and record-keeping.
- Proficiency in using accounting software and Microsoft Excel for data analysis and reporting.
- Excellent organizational and time management skills, with the ability to prioritize tasks effectively.
- Good communication and interpersonal skills, with the ability to work collaboratively in a team environment.
- Knowledge of inventory control principles, GRPO procedures, and accounts payable processes.
- Problem-solving skills and the ability to resolve issues independently.
- Adaptability and willingness to learn new processes and technologies.
