Job Description

Position Title: Construction Secretary

Job Description:

As a Construction Secretary, you will be responsible for handling various administrative tasks to ensure the smooth operation of the construction department. Your duties and responsibilities include:

1. Handle all phone calls and mail, screening as appropriate to ensure the manager's time is used efficiently.

2. Ensure accurate production of typing, including Board Reports, photocopying, and faxing, in a professional style and in line with company procedures.

3. Arrange meetings and seminars, ensuring participants have all relevant papers in advance.

4. Provide accurate data for reporting purposes.

5. Answer telephones, direct calls to the appropriate personnel, or answer inquiries and transmit instructions.

6. Receive orders/products shipped to the department, check contents against the packing slip, and return the verified packing slip to designated staff.

7. Maintain appropriate levels of materials and supplies for the department and order according to college purchasing procedures.

8. Initiate and/or collect appropriate paperwork from or on behalf of students, faculty, staff, and the community and handle it appropriately and in a timely manner.

9. Contribute to the development of various materials for the department.

Qualifications:

1. Experience as an administrative secretary is preferred.

2. Good verbal communicator with professional interpersonal skills.

3. Ability to work well under pressure and maintain focus with frequent interruptions.

4. Compose letters and memoranda from verbal direction, dictation, or knowledge of department policy or procedure.

5. Knowledge of the permits/inspections process.

6. Proficient in using various software packages, such as Microsoft Word, Outlook, PowerPoint, Excel, and Access, to produce correspondence, documents, and maintain records.

7. Position is temporary with the possibility of becoming permanent.

8. 2 years of construction experience (electrical or alarm experience is a plus).

9. Receive telephone calls and visitors.

10. Act as a liaison between the designated administrator/manager and other center staff.

11. Maintain and update the automated student records system.

12. Provide form control functions, including form revision and development.

13. Perform a variety of clerical and administrative duties.
