Job Description
Please note that while this list is comprehensive, Anantara employees are encouraged to find new ways to support the business, guests, and colleagues. The key responsibilities for this position include:
1. Create appropriate files and checklists for events once the contract is signed and handed over from the Area Sales Office. Contact guests within 48 hours of file handover.
2. Confirm event details with guests and distribute information to relevant departments through memos, banquet event orders, resumes, and rooming lists.
3. Confirm billing procedures, receive deposits, and establish credit facilities as required.
4. Coordinate with outside vendors (e.g., entertainment, electrical, audio-visual, floral) to meet guest requirements.
5. Collaborate with the Director Culinary to create menus that meet clients’ needs while managing food and labor costs.
6. Ensure delivery of expected guest service by coordinating with other hotel departments.
7. Maintain Anantara service standards for all client activity.
8. Chair group arrival meetings with the Operations Manager and Director of Food and Beverage to ensure the hotel is fully prepared.
9. Respond promptly to guest inquiries within 24 hours.
10. Negotiate prices, prepare accurate quotes, and confirm contracts as necessary.
11. Conduct site inspections and ensure exceptional guest experiences.
12. Participate actively in departmental meetings, team-building efforts, and other activities.
13. Assist in compiling competitive intelligence information.
14. Fulfill other reasonable requests from department and hotel leadership.
15. Adhere to Company Green Initiatives.
Qualifications
- Bachelor's degree in Hospitality, Events, or Tourism industry.
- Minimum 3 years of experience in a luxury hotel environment.
- Previous experience in event organization.
- Strong written and verbal communication skills.
- Good negotiation skills.
- Ability to maintain a positive attitude in a fast-paced environment.
- Proficiency in written and spoken French and English; additional languages are a plus.
- Excellent organizational skills and flexibility.
- Strong drive for results and negotiation techniques.
- Positive attitude, dynamic personality, good communication and interpersonal skills, and creative mindset.
