Job Description

Job Title: Sales Coordinator :

We are currently seeking a UAE National Sales Coordinator to join the Global Aftersales division at Al Futtaim Automotive. In this role, you will primarily be responsible for providing administrative assistance to the Sales team, supporting targeted sales of Parts and Accessories, and ensuring a high level of customer service. This role will be based in our Umm Ramool office.

Key Responsibilities:

Purchasing:

Purchase automotive parts and accessories using ERP applications (SAP and SAP Ariba) for repair jobs and vehicle customizations.
Forecast material and service requirements to ensure smooth project and workshop operations.
Supplier Management:

Evaluate and compare quotations from multiple suppliers to select the most cost-effective, timely, and quality options that meet material specifications.
Create purchase requisitions, purchase orders, and service orders, and coordinate with suppliers and service providers.

Communication and Coordination:

Collaborate with vendors, customers, team members, and managers to align goals and address order approval and material delivery issues.
Create DBM Orders and assist with operations within the broader Accessories, SVD & Consumables division.

Customer Relations and Sales:

Follow up on payments and maintain customer accounts.
Coordinate with internal and external customers to generate sales.
Conduct site audits to ensure operational standards.

Supplier Records and Inventory:

Maintain and update supplier information, supplier invoices, and payment records.
Track and record orders, follow up on order delivery, and confirm estimated arrival times for backorders.
Inspect material and service deliveries to ensure they meet company quality standards.

Warranty Claims:

Prepare and process warranty claims according to manufacturer guidelines, with proper documentation.
Follow up with manufacturers to ensure efficient claims processing.

Warehouse Optimization:

Optimize warehouse operations by monitoring availability reports, delivery scheduling, receiving, allocation, damage, and aging reports.
Identify and reduce dead stock using current and aging stock reports.

SAP System:

Assist in testing new SAP system modules and ensure timely implementation of new modules such as VAT Tax Implementation, System Time Clocking for Labour, and Bonded warehouse.
Training:

Train and assist new staff to ensure effective performance of all duties.

Required Skills:

Customer management and coordination experience.
Strong communication skills.
Timely issue resolution.
Proficiency in Microsoft Office.
About the Team:

You will report to the Manager of the division, and your main focus will be providing sales and administrative support to the sales team.

Qualifications:

Bachelor's Degree or Diploma.
3 years of experience as a Sales Administration or Sales Coordinator.
Knowledge of SAP and invoicing systems.
Proficiency in English and communication skills.
Strong Microsoft Office skills, particularly in Excel.
